    A call comes in about a rear-end collision

    Your intake coordinator types notes while talking. The agent proposes a structured record — auto accident, incident date, police report yes, carrier unknown — and shows exactly which PI facts are still missing. She asks the caller for the carrier before hanging up.

    Intake reviews and converts

    The coordinator checks the record, fixes a misspelled defendant name and converts the lead. If a fact is still missing she can override with a note. The agent could not do this step.

    Every party gets searched

    Client, defendant driver, the trucking company, its insurer and the treating clinic are matched against every open and closed matter. One fuzzy hit: the insurer appeared as an opposing party in 2023. The agent explains the match and queues it.

    The assigned attorney reads the explanation, decides it's not a conflict and clears it. Her name, the time and what she saw are written permanently. A flag would have locked the matter and routed it to the managing partner.

    Engagement is signed and tagged contingency. The agent generates the auto-accident task plan: records request at +7 days, demand at +30, complaint by +90, statute of limitations watched at two years — all relative to your firm's trigger events.

    Work happens; the record keeps up

    Filing slips a week; every downstream date moves. A paralegal marks 'records received' done with no time on it; the billing agent flags it. Ninety days in, the matter has 1.2 hours logged; that lands on the partner's weekly review.

    'Demand sent' is a client-visible milestone. The agent drafts a plain-language update from your template and puts it in front of the attorney. She edits one sentence and sends. It's logged.
