Accountable leadership

A real person behind the product

Who’s behind Caseflow

Built under Aivyn. Led by Irakli Tkhilaishvili.

CEO, Aivyn

Caseflow is a dedicated legal software product built under the Aivyn organization. Irakli leads the company and is accountable for how Caseflow is developed, introduced to firms, and supported.

We show who is behind the product because law firms should know who they are trusting with operational workflows. During the early rollout, firms can speak directly with the team building Caseflow—not an anonymous sales organization.

Fewer missed handoffs. More matters moving forward.

A strong case can still lose momentum when intake notes are incomplete, a conflict review is waiting in someone’s inbox, or a changed date never reaches the task list. Caseflow connects those steps and tells the right person what needs attention next.

5routine workflows monitored from first inquiry through billing review
100%of conflict decisions, client messages, and invoices require human approval

Caseflow prepares the work. Your lawyers and staff remain responsible for every legal, client-facing, and billing decision.

A typical workday

Six moments where Caseflow does the legwork — and your team makes the call.

Agents monitor the firm around the clock, prepare the next step, and hand it to you for approval. Realistic examples, not customer results.

Scenario 01

New motor-vehicle inquiry

Situation

A form comes in after a collision — insurer and police-report details missing.

Caseflow prepares

Builds the intake record, flags the missing facts, checks duplicates, routes to intake staff.

Your team decides

Staff completes the intake; an attorney decides whether to investigate or accept.

Scenario 02

Possible conflict match

Situation

A defendant's name resembles a former client on an older matter.

Caseflow prepares

Shows the possible match, the prior matter, each party's role, and why they linked.

Your team decides

The designated reviewer clears or flags. Caseflow cannot make that call.

Scenario 03

Filing date changes

Situation

The complaint filing date moves, shifting service and discovery dates.

Caseflow prepares

Recalculates the connected task dates and shows what changed and what is now due.

Your team decides

The responsible attorney reviews the dates before the revised plan is relied upon.

Scenario 04

Client asks for an update

Situation

Records arrive, but the client hasn't heard from the firm since the request.

Caseflow prepares

Drafts a plain-language update from the firm's approved template and matter activity.

Your team decides

The attorney or paralegal reviews, edits, and sends it.

Scenario 05

Matter loses momentum

Situation

Months open, little recorded activity, no recent milestone.

Caseflow prepares

Surfaces it in the partner review with last activity, open tasks, and responsible person.

Your team decides

The partner decides: reassign, advance, review, or close.

Scenario 06

Work completed, time missing

Situation

A task is marked complete on an hourly matter, but no time entry exists.

Caseflow prepares

Flags the gap before invoice prep and shows the completed task to the professional.

Your team decides

The professional confirms the time; a partner approves the invoice draft.

Realistic examples of system behavior — not customer results

01

Intake agent

Turns every inquiry into a complete, review-ready intake

  • Collects web forms, phone notes, and forwarded emails in one intake record
  • Shows staff which facts are still missing, such as the incident date, injuries, police report, or carrier
  • Warns staff about possible duplicate inquiries and returning clients
  • Sends the completed intake to the right attorney without promising representation

02

Conflict agent

Finds possible conflicts and gives the attorney the evidence

  • Searches clients, defendants, drivers, insurers, employers, and prior matters
  • Explains each possible match, including the name, role, matter, and reason it appeared
  • Requires an attorney or authorized staff member to clear or flag the result
  • Prevents a flagged matter from moving forward until a partner resolves it

03

Deadline agent

Keeps the team focused on what is due next

  • Creates the matter task plan from your firm's approved templates
  • Recalculates dependent dates when a filing, service, or other trigger date changes
  • Shows overdue work and identifies tasks waiting on an earlier step
  • Marks client-facing milestones so your team can send a timely update

04

Billing agent

Shows partners where work or revenue may be slipping

  • Tracks contingency matters by milestone and hourly matters by recorded time
  • Flags completed work with no time entry and older matters with little activity
  • Highlights aging matters and possible write-down risk for partner review
  • Prepares invoice drafts but never sends one without approval

Your judgment remains in control

Assistance for the work. Not a substitute for a lawyer.

These approval requirements are built into Caseflow and cannot be turned off.

  • Conflict clearance requires a named human decision. The Conflict agent searches and explains; it cannot clear.
  • No client message leaves the system without someone reading it and clicking send.
  • Every invoice is a draft until a partner approves it.
  • Deadlines use your firm's configured offsets — not a black-box rules engine.
  • Every proposal, approval, flag and status change is written to a permanent audit trail with who and when.
Who it's for

Built for a specific firm. Probably not every firm.

A good fit

  • Plaintiff-side personal-injury firms
  • 3 to 25 attorneys, with dedicated intake staff
  • Contingency-heavy caseload with some hourly or flat work
  • A managing partner who wants to see the leaks, not a dashboard of vanity metrics

Not for you, yet

  • Solo practitioners — the approval gates add friction you don't need yet
  • Firms above 50 attorneys — you need enterprise procurement we're not built for
  • Defense-side or insurance work — the intake and deadline templates are plaintiff-shaped
  • Anyone who wants an AI to clear conflicts or send client messages on its own
Pricing

Per seat, per year. Quoted after the demo.

Caseflow is priced per attorney seat on an annual agreement, with intake staff seats included. Pilot firms start with one or two agents and add the rest at no change in seat price.

We don't publish a number because the fit conversation comes first — the demo is where we confirm your caseload, your intake volume and which agents earn their keep on day one. You'll leave that call with a written quote.
